We usually ask schools to bring at least 8 racers, but the more the merrier.
This is a co-ed event, so there aren’t any limits on the number of boys and girls you bring.
If you’re not sure you can get a team of at least 8 racers, don’t worry. Get in touch with us and we’ll see what we can do (one solution could be combining your team with another smaller team, for example).
When it comes to payment, the first thing to point out is that deposits are non-refundable, so please make this clear to everyone in your group (this should save you a headache later down the line with drop-outs too).
The deposit is £350 per person and this is due at the time of booking. The second deposit of £350 per person is due six weeks later. And the final balance is due 10 weeks before the event.
It’s really important this payment schedule is stuck to (if any fees are incurred from suppliers for late payment, we reserve the right to pass these on to the group), so it’s worth making everyone aware of this when collecting the first deposits.
When you make payments, please make them as a group via bank transfer or cheque to Halsbury Travel. We can’t accept payments from individuals.
We always aim to provide a high standard of accommodation and food for all our groups.
Students should expect to stay in multi-bedded rooms with en-suite bathroom facilities.
And we’ll do our best to make sure staff are in en-suite twins and triples (but this is subject to availability and gender breakdown).
Single rooms are, as you’d expect, subject to availability and a supplement will apply.
We offer a free place ratio of 1 per every 8 full-paying passengers (and this is based on twin/triple rooms for staff).
If your group size decreases, we reserve the right to decrease the number of free places accordingly, but we’ll do everything we can to help you retain group numbers and staff places. Pro-rata rates can be supplied for free places if needed.
The first thing to say is that we’ll guide you through the process, so don’t worry about missing anything.
About a month before the event, we’ll need a full list of group names (as they appear on passports), passport details and skiing experience. We’ll send you a spreadsheet for this, and the sooner you can send it back to us the better (pro-tip – save yourself time and stress by making or requesting copies of passports when collecting in first deposits and permission slips).
If you need to make any changes at all, please get in touch with us as soon as possible. Once the first deposits have been received, any changes (like dates, names etc.) will incur a £20 admin fee (and may also be subject to fees from suppliers – for example, airline usually charge for name changes).
And late additions to the group are welcome if we have space to accommodate them, but will incur a supplement.
We’ll always do our best to book the most appropriate flights for your group. But please remember that flight times and routes are subject to availability and so we can’t guarantee which flights we’ll be able to book for you.
We’ll confirm your flight details to you as soon as they’re booked, but we aren’t able to do this until your booking is confirmed, so if you’re really keen to get a specific flight our advice would be to get your booking and first deposits to us as soon as possible.
If you need to make any changes to your booking after your flights are confirmed, please remember that airlines do usually charge for name changes or any other additional administration. These fees will be passed to you – so if you do think you might need to make a change, let us know and we can advise you what the charges might be.
The simple answer is no, as long as you stick to all the booking procedures (which we’ll make sure you’re aware of).
If you’re not able to stick to the booking procedures (e.g. if you don’t book before the quote expires, or if you don’t stick to the payment schedule), we might need to re-cost the trip.
Of course, we’ve been organising school trips for nearly 40 years, so we fully understand the complicated nature of running trips. So, if you are struggling to stick to the booking procedures or you need to make any changes, just let us know as soon as possible so we can do our best to help you avoid any surcharges or admin fees.
We can provide a risk assessment for travel and other off-mountain activities, accommodation and ski races. And we can provide you with a copy of our Safety Management System, which covers our operating procedures and can be used as part of your risk assessment.
The numbers for the hotel and the transport companies will be provided in the risk assessments.
Of course. As well as Halsbury reps who’ll be in resort to support you, you’ll also be provided with an emergency contact number so that you can reach us at any time of the day or night.
Yes, all external doors are locked at night and the reception is manned 24 hours a day.
At least one member of staff from your group will be placed on each floor with students.
