The successful candidate will be a key member of the speciality tours team responsible for arranging the travel arrangements and itinerary fulfilment for our tours travelling mainly to Europe. This position would be covering in the Sport department for a short period of maternity cover, before moving into our music department.
Responsibilities
- Coordinate with the group leader from booking until the trip's conclusion.
- Develop a detailed and engaging itinerary based on the group's needs.
- Ensure all tour elements are booked within budget while maintaining profitability.
- Communicate with accommodation centres about rooming, meal arrangements and general enquiries.
- Update accommodation centres and transport providers on passenger changes, name changes, dietary requirements, etc.
- Address any queries from group leaders regarding their tours.
- Potentially serve as a 'tour rep' to assist groups on tour.
- Visit destinations for training, supplier audits and reviews.
- Handle tour enquiries via telephone.
- Work proactively and productively with other departments in the business.
- Perform other business-related tasks as needed.
- Potentially attend and present at school parents' evenings, both remotely and in person.
- Be on call for out-of-hours phone duties while groups are on tour (with additional pay).
Required skills/knowledge
- Experience in the school travel industry is highly desirable.
- Strong knowledge and understanding of multiple destinations and subject areas.
- Excellent organisational and administrative skills.
- Proactive and able to prioritise tasks effectively.
- Ability to build and maintain strong relationships with colleagues, suppliers and customers.
- Outgoing and confident personality.
- Strong communication skills.
- Positive 'can-do' attitude.
- High proficiency in written and spoken English (Grade C or above at GCSE or equivalent).
- Proficiency in a second European language is highly desirable (preferably German or French), though not essential).
